Lawn Style Ltd of 49 South Avenue, Abingdon, OX14 1QR ("we", "us") is the data controller for the personal information described in this policy. You can contact us about anything in this policy at cliff@lawnstyle.co.uk or 07861 917428.

We have written this policy in plain English because you should be able to understand exactly what we do with your information without a law degree.

What we collect

We collect and hold only what we need to look after your lawn and your account:

  • Your name, email address and phone number
  • The address of each property we treat for you
  • A record of every visit we make: the date, the treatment carried out, notes about your lawn and its condition
  • Photographs of your lawn taken before and after treatments
  • Your referral code and a record of neighbours you have referred
  • Whether you have agreed to receive our seasonal tips and news emails
  • Any problem reports or requests you send us through the app, including photos you upload

We do not hold your payment card or bank details. Payments are handled entirely by our payment provider on their own secure systems, and they act as an independent controller of that information under their own privacy policy.

Why we collect it and our legal grounds

  • To provide your lawn care service. Your contact details, property address, visit records and lawn photographs are used to plan, carry out and record our work for you. Legal ground: performance of our contract with you.
  • To send you service messages. Visit reminders, post visit reports and account messages are part of the service itself, not marketing. Legal ground: performance of our contract.
  • To send you tips and news, only if you say yes. Our seasonal lawn tips and Lawn Style news emails are sent only if you have ticked the consent box, and you can untick it at any time in your account settings or by contacting us. Legal ground: your consent.
  • To run our referral scheme. If you refer a neighbour we record it so both of you receive the reward. Legal ground: our legitimate interest in running the scheme fairly, and performance of the reward promise.
  • To keep proper business records. We keep records of the work we have done for accounting and legal purposes. Legal ground: legal obligation and legitimate interest.

Photographs of your property

Before and after photographs of your lawn are part of your private lawn record and are visible only to you and to us. We will never feature your lawn or property in our community content, such as Lawn of the Month, or in any marketing, unless you have given us your explicit permission first. You can withdraw that permission at any time and we will remove the content.

Who we share your information with

We do not sell your information to anyone, ever. We share it only with the service providers who help us run the app, and only so far as needed:

  • Our app and database hosting providers, who store the information securely on our behalf
  • Our email delivery provider, who sends our service and, where consented, marketing emails
  • Our payment provider, who handles payments and holds payment details on their own systems

Each of these providers processes your information under contract terms that require them to protect it. Some providers may store information outside the UK; where they do, transfers are protected by recognised safeguards such as the UK's data bridge arrangements or standard contractual clauses.

We may also disclose information if the law requires it, for example to HMRC or a court.

How long we keep it

  • While you are a customer, we keep your account, visit records and photographs so your lawn record stays complete.
  • If you leave us, we delete your account, lawn record and photographs within 12 months of your final visit, unless you ask us to delete them sooner.
  • Basic invoicing and accounting records are kept for six years after the tax year they relate to, because UK law requires it.

Your rights

Under UK data protection law you have the right to:

  • Access a copy of the information we hold about you
  • Correct anything that is wrong
  • Delete your information, sometimes called the right to be forgotten
  • Withdraw consent to marketing at any time, without affecting your service
  • Object to or restrict certain uses of your information
  • Receive your information in a portable format

To use any of these rights, contact us at cliff@lawnstyle.co.uk. We will respond within one month. Deleting your information means losing your lawn record, so we will always confirm before we act.

How we protect it

Your information is stored in a secured database with access controls that mean you can only see your own records when you log in. Photographs are held in private storage that cannot be accessed without logging in. Access to the full system is restricted to us, protected by strong authentication.

No system on the internet can be guaranteed absolutely secure, but we take our responsibility for your information seriously and review our protections regularly. If a breach ever occurred that put your rights at risk, we would inform you and the Information Commissioner's Office as the law requires.

Complaints

If you are unhappy with how we have handled your information, please tell us first and we will do our best to put it right. You also have the right to complain to the UK's data protection regulator, the Information Commissioner's Office, at ico.org.uk or on 0303 123 1113.

Changes to this policy

If we change this policy we will update the date at the top and, for significant changes, tell you by email or through the app.
